How Acclivity Labs collects, uses, and protects your information.

Effective June 2026 Last updated: October 18, 2026

Overview

Acclivity Labs LLC ("Acclivity Labs," "we," "us," or "our") operates an AI-powered workforce automation platform. This Privacy Policy describes what data we collect when you use our platform, how we use it, and the choices you have. It applies to all services available at acclivitylabs.ai and associated subdomains.

If you have questions or requests regarding your data, contact us at dan@acclivitylabs.ai or by mail at:

1. Data We Collect

Account Information

When you or your organization subscribes to Acclivity Labs — including through the Azure Marketplace — we collect information necessary to create and manage your account:

Usage Data

We collect data about how you interact with the platform to operate it reliably and improve it over time:

Content You Provide

Our AI agents process data you explicitly submit — documents, CRM records, customer communications, and other business content — to perform the tasks you request. This content is processed on our infrastructure and is not used to train third-party AI models.

What We Do Not Collect

We do not use tracking pixels, behavioral ad networks, or third-party analytics that build individual profiles across websites. We do not collect sensitive personal categories such as health data, biometrics, or financial account numbers.

2. How We Use Your Data

Service Delivery

The primary use of all data we collect is to provide the Acclivity Labs platform: routing your requests to the appropriate AI agents, returning results, maintaining your workspace, and preserving agent memory and context within your tenant.

Security and Reliability

Usage logs and error data are used to detect anomalies, investigate incidents, protect against unauthorized access, and maintain uptime. We retain operational logs for up to 90 days.

Product Improvement

Aggregated, anonymized usage patterns — for example, which agent categories are most used or where workflows fail — inform product development decisions. Individual user content is not used for this purpose without explicit consent.

Communications

We may use your email address to send transactional notices (subscription confirmations, security alerts, policy updates). We do not send marketing email without your opt-in consent.

Legal Obligations

We may process or retain data as required by applicable law, including responding to lawful government requests or resolving disputes.

3. Infrastructure and Hosting

Acclivity Labs operates on a hybrid infrastructure: primary compute runs on on-premises NVIDIA DGX hardware, with cloud services delivered through Microsoft Azure. Azure hosts our public endpoints, identity services (Entra ID), and Marketplace subscription management.

Customer data is logically isolated by tenant. Each customer organization's data is stored in a separate database schema and is never commingled with another organization's data at the application layer.

Data is stored in the United States. We do not transfer personal data to international locations except as required to operate Azure services, which are governed by Microsoft's Data Protection Addendum and the EU Standard Contractual Clauses where applicable.

4. Data Sharing

We do not sell your data. We do not sell, rent, or trade personal information to third parties for their own marketing or commercial purposes — full stop.

Service Providers

We share data with a limited set of vendors who help us operate the platform under strict confidentiality obligations:

Business Transfers

If Acclivity Labs is acquired, merges with another entity, or undergoes a reorganization, customer data may be transferred to the successor entity. We will notify affected users before any such transfer takes effect and give you the option to delete your data.

Legal Disclosure

We may disclose data when legally required — for example, in response to a court order or subpoena — and will notify you to the extent permitted by law before complying.

5. Authentication and Access Control

Acclivity Labs uses Microsoft Entra ID (formerly Azure Active Directory) as its primary identity provider. When your organization subscribes, access is gated through your existing Entra ID tenant, meaning your IT team retains control over who can access the platform through your organization's own conditional access policies and MFA requirements.

We do not store passwords. Authentication tokens are short-lived and scoped to specific platform permissions. Role-based access controls allow your administrators to restrict which users can invoke which agents or access which data within your tenant.

6. Data Retention

We retain account data for the duration of your active subscription plus 30 days after termination, giving you time to export records. Operational logs are retained for 90 days. Agent-generated outputs stored in your workspace persist for the subscription lifetime and are deleted within 30 days of account closure unless you request earlier deletion.

You may request deletion of your account and associated data at any time by contacting dan@acclivitylabs.ai. We will confirm deletion within 10 business days.

7. Your Rights (GDPR and CCPA)

Depending on your location, you may have the following rights regarding your personal data:

California residents: under the CCPA, you have the right to know what personal information is collected, the right to delete, and the right to opt out of sale (we do not sell data). We do not discriminate against users who exercise their privacy rights.

To exercise any of these rights, email dan@acclivitylabs.ai with the subject line "Privacy Request." We will respond within 30 days. We may ask you to verify your identity before fulfilling requests that involve your personal data.

8. Security

We take security seriously. Our platform is protected by:

No system is perfectly secure. If you believe you have discovered a security vulnerability, please report it responsibly to dan@acclivitylabs.ai before public disclosure.

In the event of a data breach that affects your personal information, we will notify you as required by applicable law, typically within 72 hours of discovery.

9. Cookies and Tracking

Our marketing website uses minimal cookies: session cookies required for site function and a single analytics cookie to measure aggregate traffic. We do not use advertising cookies or cross-site tracking.

The platform application itself uses session tokens stored in browser memory or secure HTTP-only cookies to maintain your authenticated session. These are strictly necessary and do not track you across other websites.

You may disable cookies in your browser settings. Doing so will prevent you from logging into the platform.

10. Children's Privacy

Acclivity Labs is a B2B platform intended for use by organizations and their adult employees. We do not knowingly collect personal information from individuals under the age of 16. If you believe a minor has provided us with personal data, contact us immediately and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy as the platform evolves or as legal requirements change. When we make material changes, we will update the effective date at the top and notify active subscribers by email at least 14 days before the changes take effect. Continued use of the platform after that date constitutes acceptance of the updated policy.

Archived versions of this policy are available upon request.

12. YouTube API Services

Acclivity Labs publishes its own product and training videos to the Acclivity Labs YouTube channel and embeds those videos on acclivitylabs.ai. To do this we use YouTube API Services. By watching embedded videos or interacting with our YouTube content, you are also subject to the YouTube Terms of Service and the Google Privacy Policy.

What we access. Our API client signs in only to the Acclivity Labs channel that we own. It uploads our videos, sets their titles, descriptions, tags and thumbnails, changes their visibility, and reads view and subscriber counts for our own channel. We do not access, collect or store data about other YouTube users or channels, and we do not use the API to access visitors' YouTube accounts.

Storage and deletion. We store only our own channel's video IDs, titles and aggregate statistics, on servers we operate in the United States. Authorization tokens are kept in access-restricted files that only system administrators can read. Statistics are refreshed or deleted at least every 30 days, as the YouTube API Services Developer Policies require.

Sharing. We do not sell or share YouTube API data with third parties.

Revoking access. Any Google account that has authorized an Acclivity Labs application can revoke that access at any time from the Google security settings page. To ask us to delete any data related to YouTube API Services, email dan@acclivitylabs.ai; we delete it within 7 days.
